About the role
We are looking for an experienced Executive Assistant to support our CFO, in Chiswick, West London. You will will provide high-level administrative support, ensuring the efficient operation of the CFO’s diary and day to day operations. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. This is an excellent opportunity for an experienced Executive Assistant, with previous experience in a professional services or financial services company.
Key responsibilities
- Manage the CFO’s calendar, including scheduling meetings, appointments, and international travel arrangements, including visas.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Coordinate and organize meetings and follow up on action items.
- Handle confidential information and maintain the highest level of discretion.
- Liaise with internal and external stakeholders on behalf of the CFO.
- Manage expense reports and ensure timely reimbursement.
- Perform other administrative duties as required to support the CFO and direct reports
- Ability to recognize and understand the urgency of key issues and take immediate action as appropriate
- Coordinate special projects and initiatives as directed by the CFO.
- Assist in the development and implementation of office policies and procedures.
General Manager Client Services COE (20%)
- Manage the GM’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Coordinate and organize meetings
- Perform other administrative duties as required to support the CFO and direct reports
- Manage expense reports and ensure timely reimbursement.
General Manager, Government Services (10%)
- Schedule adhoc meetings as and when requested
- Manage expense reports and ensure timely reimbursement
About you
- Previous experience as an executive assistant in a professional services or finance company
- An understanding of the finance lifecycle preferred
- Excellent proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Teams
- Excellent organizational and time-management skills.
- First class written and verbal communication skills.
- Ability to work independently and as part of a team.
- High level of professionalism and discretion.
- Attention to detail and problem-solving skills.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Good interpersonal skills and the ability to build relationships with stakeholders.
- Proactive approach to problem-solving with strong decision-making capability.
- Ability to adapt to changing priorities and handle unexpected situations with ease
