About the role

We are seeking a highly organized and proactive Executive Assistant to support our Chief Marketing and Communications Officer (CMCO). The ideal candidate will be adept at managing complex schedules, coordinating high-level meetings, and handling confidential information with the utmost discretion.

Key responsibilities

  • Manage the executive’s calendar, schedule appointments, and handle calls.
  • Screen incoming calls and correspondence, responding independently when possible.
  • Organize programs, events, meetings, or conferences, including arranging facilities and caterers.
  • Coordinate all meetings required to support the marketing function.
  • Provide support for complex meetings or Team calls for the CMCO’s direct reports.
  • Collaborate with other Executive Assistants and general affairs personnel for office logistics.
  • Perform invoice management and liaise with global finance departments and suppliers.
  • Maintain organizational charts on Visio and handle confidential corporate and personnel matters.
  • Prepare agendas, notices, minutes, confidential correspondence, reports, and presentations.
  • Arrange detailed travel plans and itineraries, including visas and travel-related documents.

About you

  • Proven experience as an Executive Assistant or in a similar role.
  • Exceptional organizational and time-management skills.
  • Strong communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Visio).
  • Ability to handle confidential information with discretion.
  • Strong problem-solving skills and attention to detail.
  • Ability to work independently and as part of a team.
