Overall, Purpose of the Job
As a Senior Buyer at MedAire, you'll be at the forefront of developing cutting-edge procurement strategies, negotiating optimal pricing and terms with suppliers, and ensuring timely and cost-effective sourcing of essential medical supplies. Your role will involve analyzing market trends to anticipate price fluctuations and supply chain risks, making strategic purchasing decisions that align with our organizational goals.
Key Responsibilities
- Craft and implement innovative procurement strategies to optimize cost, quality, and delivery timelines.
- Negotiate contracts with suppliers to secure favorable pricing, terms, and conditions.
- Source, evaluate, and procure pharmaceuticals, medical devices, and supplies that meet established quality standards.
- Analyze market trends, monitor commodity pricing, and assess supply chain risks to inform purchasing decisions.
- Manage inventory levels based on usage, economic order quantity (EOQ), costs, and availability.
- Develop reporting tools to proactively address supply chain issues.
- Communicate supply issues promptly to relevant stakeholders, ensuring transparency and effective resolution.
- Report monthly on cost savings, cost avoidance, and price changes due to market conditions.
- Monitor and manage inventory value to meet monthly Key Performance Indicators (KPIs).
- Assist order desk with Requests for Quotation (RFQ), monitor MS AZ inbox, and update quotation tracker and pipeline.
- Contribute to KPI reporting for On-Time In-Full (OTIF) delivery metrics.
- Identify vendor and supply chain issues, presenting alternative action plans to management.
- Maintain and update the Authorized Supplier File as assigned.
- Provide efficient and effective customer service, maintaining frequent communication with clients.
- Analyze market data to identify opportunities for strategic purchasing, including leveraging market conditions to optimize procurement outcomes.
- Monitor and report on market manipulation risks, such as supplier price collusion or artificial shortages, and propose mitigation strategies.
- Utilize advanced data analytics and forecasting tools to predict market trends and optimize purchasing strategies.
- Collaborate with cross-functional teams to integrate sustainability and ethical sourcing practices into procurement processes.
- Comply with state and federal regulations for controlled substances and prescription medications.
- Maintain strict confidentiality of client information in accordance with HIPAA and other relevant regulations.
- Perform other duties and special projects as assigned.
Required Skills and Knowledge:
- Proficiency in computer and software programs, including Word, Excel, PowerPoint, Outlook, Internet browsers, Microsoft Teams, Zoom, and ERP systems.
- Strong negotiation skills and effective verbal and written communication.
- Expertise in data analytics and market trend analysis tools (e.g., Tableau, Power BI, or similar platforms).
- Strong attention to detail and excellent problem-solving skills.
- Knowledge of market manipulation risks and mitigation strategies in procurement.
Required Competencies:
- Building strong relationships with internal teams and external suppliers.
- Ability to negotiate complex supplier contracts effectively.
- Collaborative mindset to work in a team environment and communicate across all levels of personnel.
- Strategic thinking to anticipate and respond to market dynamics and supply chain challenges.
Required Work Experience
- 3-5 years of proven experience in pharmaceutical/medical supply/biotech or relevant industry in any relevant supply chain area.
- Demonstrated ability to develop and implement processes to enhance efficiencies and accuracy in procurement.
- Experience with market analysis and strategic sourcing in volatile or competitive markets.
Required Qualifications:
- Associate’s degree or equivalent; Bachelor’s degree preferred.
- ASCM/APICS (CSCP or CPIM) certification preferred.

Travel / Rotation Requirements
- Travel not anticipated.
- Occasional participation in after-hours virtual meetings to accommodate global time zones.
