The Chief of Staff  is responsible for enabling the effective functioning of the General Manager’s office by coordinating strategic initiatives, managing cross-regional projects, and ensuring operational alignment across teams. The role expands upon a traditional Personal Assistant remit, with a strong emphasis on project management, strategic communication, and cross-team collaboration.

Key responsibilities

 

Executive Support & Strategic Coordination

 

• Support the General Manager in preparing strategic materials, reports, briefings, and presentations for internal and external stakeholders.

 

• Coordinate the implementation of regional priorities and ensure alignment across countries and functions.

 

• Act as a central point of contact between the GM and internal teams, ensuring clear communication and follow-up on key actions.

 

• Prepare agendas, background documents, and pre-reads for leadership meetings, regional committees, and global interactions.

 

• Manage the GM’s strategic agenda, ensuring prioritisation, anticipation of needs, and effective preparation for key meetings and decisions.

 

 

Project Management & Cross-Functional Leadership

 

• Lead and coordinate cross-regional strategic projects in collaboration with Country General Managers and functional leaders.

 

• Establish project plans, timelines, deliverables, and KPIs; monitor progress and escalate risks where needed.

 

• Develop and maintain dashboards and tracking tools to support project governance and performance monitoring.

 

• Facilitate inter-departmental collaboration to ensure timely execution of initiatives.

 

• Support change management efforts across the region.

 

Internal Communication & Stakeholder Engagement

 

• Prepare communications, talking points, presentations, and updates on behalf of the General Manager.

 

• Ensure the effective flow of information between the GM and internal stakeholders at all levels.

 

• Support the organisation of leadership offsites, regional meetings, and internal events.

 

• Build strong relationships with teams across Southern Europe to ensure alignment and collaboration.

 

Operational Excellence of the GM’s Office

 

• Optimise processes, workflows, and organisational routines to improve efficiency in the GM’s office.

 

• Conduct research, collect insights, and develop briefing notes on strategic topics as required.

 

• Oversee key administrative tasks related to the executive function (travel preparation, dossiers, follow-ups), while mainly focusing on high-value strategic activities.

 

• Maintain absolute confidentiality and professionalism at all times.
