As a Site Liaison Intern, you will support the Site Liaison team in ensuring smooth coordination of staff logistics and mobilization processes. You will assist with administrative tasks, travel arrangements, and communication with both internal stakeholders and external clients.
Description:
Key Responsibilities
Logistics & Travel Coordination
- Assist in maintaining staff rotation schedules and internal system records
- Support visa application processes by gathering and filing required documentation
- Coordinate travel arrangements, including flights, accommodation, and ground transportation
- Maintain accurate records of travel and visa documentation
Communication & Coordination
- Draft and send routine communications regarding travel and mobilization updates
- Confirm arrivals, departures, and meet-and-greet arrangements
- Maintain accurate staff contact information in internal systems
Staff Support
- Support staff mobilization and demobilization processes
- Assist with completion and maintenance of pre- and post-mobilization checklists
- Upload and manage documentation on internal platforms
- Coordinate onboarding logistics such as orientation, training, and system access
- Assist with registrations on internal platforms (MSRC, Medical & Security Alerts)
- Prepare and distribute staff documentation (timesheets, expense claims, medical forms, site packs)
- Coordinate uniform requirements and communication to staff
- Liaise with internal stakeholders including Operations, HR, and Recruitment teams
Customer Service & Relationships
- Deliver a high standard of customer service through a proactive, hands-on approach
- Build strong relationships with staff and internal stakeholders
- Promote teamwork and collaboration across departments
General Administration
- Assist with compiling basic reports (weekly/monthly)
- Attend team meetings for exposure and learning
- Track document expiry dates and flag renewals
- Support general administrative and coordination tasks
Health & Safety
- Adhere to all company health and safety procedures
- Complete mandatory training
- Report hazards or incidents promptly

Requirements
Qualifications
- Currently studying towards, or recently completed, a tertiary qualification
Experience
- Up to 1 year of experience (or exposure) in:
- Logistics
- Administration
- Travel coordination
- HR or customer service
