About the role
Join our Medical Services Business Line as an HR Assistant, where you will play a pivotal role in ensuring the smooth operation of our regional human resources functions across the MSI region. You will be instrumental in providing robust administrative and logistical support, acting as the backbone for data management, compliance tracking, and document coordination within an international and dynamic environment.
This position demands meticulous attention to detail as you manage a high volume of compliance deadlines and training schedules, helping to maintain the operational integrity and strategic efficiency of our regional HR team. Your contributions will enable seamless talent and development initiatives and support the continuous growth and capability-building efforts of our workforce. Situated in the vibrant setting of St Pierre at Vivea Business Park in Moka, you will collaborate closely with diverse stakeholders, including local country HR professionals and international colleagues.

Key responsibilities
- Monitor and accurately track due dates for mandatory international training modules, compliance certifications, and technical badges across multiple country teams, ensuring all personnel meet required standards.
- Proactively communicate with local HR teams and employees by issuing timely reminders about upcoming training deadlines, facilitating uninterrupted compliance and operational readiness.
- Collaborate with the Learning & Development and Talent Management teams to coordinate training logistics, including scheduling virtual sessions, distributing course materials, and collecting participant feedback for continuous improvement.
- Extract, compile, and analyse data related to headcount, absenteeism, and rotation fatigue from various country reports, supporting workforce planning and operational decision-making.
- Maintain and update regional organisational charts and personnel records with high accuracy, reflecting validated changes to facilitate clear reporting and communication.
- Coordinate complex interview scheduling processes across multiple time zones, managing calendar invites and communication for candidates, HR staff, and Country Managers to ensure smooth hiring workflows.
- Organise comprehensive onboarding documentation by collecting and securely filing diplomas, certifications, background checks, and other essential candidate information to ensure compliance and readiness for new hires.
- Handle routine travel arrangements, mobilization paperwork, and scheduling for personnel assigned to remote or isolated sites, supporting operational continuity.
- Serve as an administrative liaison between the regional HR team and local country offices to gather necessary documentation and support international assignment services, safeguarding adherence to global policies.
- Continuously enhance administrative processes by identifying efficiencies and implementing best practices to support regional HR operations effectively.
