Role Overview
Provide quality logistical support and liaison with rotational staff in area of responsibility which will lead to professional and efficient service delivery to the client.
Key Responsibilities:
Roster & Workforce Planning
- Develop and maintain staff rotation schedules in advance
- Ensure alignment with company policies and operational needs
- Communicate and update any roster changes with staff
Travel & Visa Coordination
- Arrange visas, work permits, and required documentation
- Coordinate flights, accommodation, and ground transport
- Ensure travel plans are confirmed and shared ahead of deployment
Client & Staff Liaison
- Serve as the main contact for site staff and clients
- Communicate deployment details, arrivals, and updates
- Resolve logistical queries and escalate issues when needed
Payroll & Timesheet Management
- Collect and review timesheets for accuracy and compliance
- Support payroll reporting and expense processing
- Maintain proper records for billing and audit purposes
Recruitment & Staff Lifecycle Support
- Coordinate recruitment for replacements and ongoing needs
- Support onboarding, mobilization, and induction processes
- Manage resignations and demobilization activities
Administration & Data Management
- Maintain accurate staff records and documentation
- Update internal systems (e.g., Oryx) with staff details
- Ensure all compliance documents are valid and up to date
Customer Service & Compliance
- Deliver high-quality service to clients and staff
- Promote teamwork and positive working relationships
- Ensure adherence to company policies, procedures, and HSE standards
Skills, Experience & Requirements
- Strong knowledge of medical services operations and logistics.
- Excellent organizational, communication, and problem‑solving abilities.
- Ability to lead and manage teams effectively in a fast‑paced, multicultural environment.
- High level of customer‑service orientation with strong administrative skills.Proficiency in PC tools (Word, Excel) and internal platforms such as ORYX and Kronos.
- Experience in operational logistics or people‑movement coordination (preferred).
- Background in Oil & Gas or remote site operations is an advantage.Demonstrated customer service experience.University degree in a relevant field (preferred).
- Fluency in Arabic and English (written and spoken); additional languages are an advantage.
- Minimal travel may be required.
