Overall Purpose of the Role

International SOS Government Services is looking for a qualified Communications Assistant to join our global Marketing and Communications Team, responsible for assisting with communications initiatives in support of the TRICARE Overseas Program (TOP) and other US-Government Services projects, as needed.

The Communications Assistant’s primary responsibility will be to support the Government Services-US/TOP Global Communications Team in preparing contract-related education and communications for TOP Beneficiaries, TOP Providers, and TOP Government stakeholders. Communications will target internal and external audiences and be delivered across a variety of print and digital formats (web, portal, smart app, email, video, Visio, InDesign, PowerPoint, PageTiger, etc.). In addition to the creation and delivery of a wide range of visual graphics and written communications, this position will assist with all communications projects, including but not limited to fact sheets, organizational/process flows, branded giveaways, sponsorships, display advertising, e-blasts, employee newsletters, and other written documents and reports. The Communications Assistant will be a key member of the TOP Global Communications Team, helping to prioritize and keep the group on track to meet project deadlines and other contract-related deliverables. 

Successful candidates should be able to work effectively in a fast-paced team environment with multiple competing priorities and aggressive deadlines.

Key Responsibilities

•    As a key member of the Global TOP Communications Team, assist with the creation of a variety of internal- and external-facing communications projects, from concept design to content development stages, including but not limited to newsletters, process flows, fact sheets, case studies, display ads, presentations/briefings, etc. for beneficiary, provider, and government stakeholder education initiatives.
•    Coordinating the implementation of web updates on TRICARE-Overseas.com, working with an outside IT vendor.
•    Managing marketing inventory upkeep/giveaway items, including working with vendors (acting as the primary point-of-contact), researching items, preparing branded art files, ordering products, handling the Purchase Request/Purchase Order process, mailing items to international offices, storing items in an organized and recorded manner in the PMO, etc.
•    Coordinating purchase requests for US-Government Services/TOP, as needed.
•    Production of case studies, cross-regionally (as needed/determined, including preparing initial draft copy, design, etc.).
•    Production of Regional Employee Newsletters (including gathering and writing initial draft copy, design/layout, etc.), highlighting team members, stories, and events of note across all overseas areas of service delivery (Latin America, Eurasia, Pacific). This includes proposing and tracking the editorial calendar and suggesting content/storylines.
•    Supporting US-Government Services’ sponsorship and participation in in-person and virtual tradeshows/conferences and internal and external Corporate Social Responsibility (CSR) events and initiatives, acting as the lead designer for ads, displays/signage, and other associated materials, etc.
•    Supporting the preparation and production of educational webinars, including the creation of promotional materials, providing support during live sessions, etc.
•    Ensuring the organization and administration of education and communications materials on a centralized SharePoint site and assisting with the TOP Communications Request/Ticketing System.
•    Assisting with the design, layout, and formatting of CDRLs, SOPs, and other contract-required documents and reports.
•    Other duties, as assigned.

Required Qualifications

•    Bachelor’s degree or higher in English, Communications, International Business, or Marketing.
•    Proficiency in Adobe Creative Cloud Suite (specifically InDesign, Photoshop, and Illustrator), with the ability to learn other design programs as needed (e.g., PageTiger, Survey Monkey, e-blast tools).
•    Proficiency in Microsoft Word, Excel, PowerPoint, Visio, and Outlook, with the ability to learn other programs as needed.
•    Strong verbal and written communication skills.
•    Strong design skills with the ability to generate multiple design concepts and iterations/updates, as needed.
•    Excellent organizational, project management, and administrative skills, with impeccable attention to detail.
•    Sets high standards for quality and quantity; self-monitors and maintains quality and productivity; works in a systematic, methodical manner with orderly work habits.
•    Ability to prioritize in complex and sometimes ambiguous environment.
•    Affinity for international business, with the ability to work effectively across time zones and cultures.
•    Excellent interpersonal skills and ability to follow through across various functions and departments.
•    Comfortable working independently and taking direction from multiple team members.
•    Experience working with website content management systems is considered a plus.
•    Familiarity or interest in Military, Government, Health Care, and/or International Business preferred.
