A. Overall Purpose Of The Job

This position is responsible for administration within the Special Immigration Visa department and assisting with interdepartmental communication. This role presents an opportunity to be integral to a fast-paced medical environment, assisting healthcare professionals in delivering exceptional care.

B. Key Responsibilities

•    Ability to compose correspondence from draft to final version, electronic and hard copy in English.
•    Ability to partner with cross-functional teams and individuals from external organizations.
•    Independently manage priorities and schedules to meet deadlines.
•    Assist the supervisor and ensure all paperwork and correspondence pertaining to the program is received and completed.
•    Document management: Utilize Microsoft Office applications for numerous tasks, including generating reports.
•    Assist with the coordination of referrals to healthcare specialists
•    Assist with basic office tasks such as receiving mail, scanning, and filing documents.
•    Professionally manage incoming calls, directing them to the appropriate departments or personnel
•    Establish and maintain productive, efficient working relationships with staff.
•    Assist in arranging staff education and training.
•    Manage and order office supplies as needed.
•    Ability to work independently in a fast-paced environment. 
•    Ability to effectively work with persons of diverse ages and economic backgrounds in a culturally competent manner. 
•    Results-oriented and able to meet project deliverables. 
•    Must be able to manage and provide concise directions to supporting staff.
•    Ability to function with accuracy and efficiency in high-pressure or emergent situations. 
•    Ability to adapt to changing work conditions and responsibilities.

C. Job Profile

 

Required Skills and Knowledge (Brief description of technical knowledge or skills needed to perform the job)
•    Strong organizational leadership skills.
•    Proficient with Microsoft Office applications, Word, Excel, etc
•    Strong analytical and problem-solving skills.
•    Fluent communication skills in English, encompassing both written and verbal mediums.
•    Meticulous detail, ensuring accuracy in data entry and record-keeping processes.

 

Experience Required:
•    Minimum 5 years experience in an administrative capacity, preferably in the medical sector.
•    At least 2 years experience working in a healthcare setting.
•    Familiarity with medical terminology, procedures, and basic healthcare protocols.

 

Education Required:
•    High School Diploma or GED

 

Other Special Qualifications:
•    Further qualifications or certifications in healthcare administration will be an added advantage.
