Overall Purpose of Role:

The Administrative Assistant is responsible for assisting with day-to-day/administrative duties for the hospital.

Essential Job Duties and Responsibilities:

•    Track and assist with in-processing and out-processing personnel (PCS and TDY)
•    File and retrieve documents and reference materials
•    Collect data and prepare reports and documents
•    Arrange and coordinate meetings and events
•    Record, transcribe, and distribute minutes of meetings
•    Monitor, screen, respond to, and distribute incoming communications
•    Answer and manage incoming calls
•    Receive and interact with incoming visitors
•    Liaise with internal staff at all levels, while maintaining confidentiality 
•    Track and report facility and environmental issues
•    Manages office inventory and equipment by performing consistent stock checks, anticipating needed supplies, placing orders for supplies 
•    Schedules maintenance for equipment service and repairs as needed. 
•    Actively participates in day-to-day office activities, including a variety of meetings and task force groups to improve procedural processes, obtain approvals, and remain abreast of new developments and policy requirements. 
•    Actively participates in Mass Casualty exercises and events. 
•    Performance of other duties as assigned

Experience Required:

•     3 years’ experience providing administrative support

•     Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite

•     Knowledge of standard office administrative practices and procedures

 

Education Required:

  • Current American Heart Association Basic Life Support (BLS) certification.
  • Proficiency in English both in reading and writing.

Other Special Requirements:

  • On call requirements as part of a rotation if required.
  • Ability to obtain and maintain a clearance to drive company vehicles.
  • Must be able to read, write and speak English to effectively communicate.
  • This position is unaccompanied.
  • Ability to obtain a DOS mandated clearance one is required.
  • Must be able to relocate to Doha, Qatar.
  • A valid passport is required and must be in your possession prior to relocation. You must maintain a current passport during your stay in Qatar.

Physical Requirements:

  • Work is normally performed in a typical interior/office work environment
  • Work involves sitting and standing for prolonged periods of time
  • May require bending, stooping and lifting up to 15 lbs
