About the role
We are currently looking for a Talent Acquisition Specialist to join our team in Japan. This individual is responsible for leading the attraction, sourcing, screening, and offering processes for both medical and non-medical roles, as well as providing support for HR tasks at the Tokyo site.
This is a permanent and full time position, based in our office in Akasaka, Tokyo.
Key responsibilities
- Conduct briefing calls with hiring managers and advise on sourcing strategy and recruitment process and timelines.
- Advertise roles and manage candidate responses, filtering CVs against the selected criteria for the role.
- Leverage online recruiting resources, Linked In and in-house ATS to identify and recruit the very best candidates.
- Conduct telephone interviews to ascertain suitability, and provide a shortlist of qualified applicants within the agreed timescales.
- Manage the interview process and support with the planning of Open Days and assessment centres as appropriate
- Provide detailed and constructive feedback to both internal and external candidates throughout the selection process.
- Interview candidates selected with the hiring managers using competency based interviewing methodologies.
- Manage the scheduling and logistics of all interviews between candidates and hiring managers.
- Ensure post-interview feedback is given to interview teams and candidates.
- Manage the offer, negotiation, closing process including required administrative components.
- Maintain accurate documentation on all candidates to ensure a robust and thorough audit trail.
- Track KPI and SLA information as required for reporting purposes.
- Support the onboarding process to ensure a smooth transition for new hires.
- Provide comprehensive support for HR tasks at the Japan site.
About you
- Excellent written and oral proficiency in both Japanese and English (TOEIC score of 800 or equivalent English proficiency)
- Strong cross-cultural communication skills
- Must hold a Bachelor's degree
- Previous experience of recruitment in an in-house role is essential. Agency experience is a plus
- Experience of recruiting roles in Japan. Prior experience of recruiting medical roles (doctors/nurses) is advantageous, but not essential
- Ability to manage multiple roles/activities in a fast-paced environment through multiple stakeholders
- Strong IT skills including MS Office 365 and HR tool systems
- Previous experience of competency based interviewing techniques. Other selection methods, including use of psychometrics are highly desirable
- Experience of Linked In/CV searching and using innovative methods/channels to source candidates
- Ability to handle sensitive and confidential information appropriately
- Excellent stakeholder management experience and communication/influencing skills
